Corporate Communications: Audio for Trade Shows, Exhibitions and Events
Do you want to make your company more prominent at your next trade show, exhibition, convention or conference. Audio will give your trade stand or static display an attention-grabbing edge. We produce compelling audio productions that you can play in the background on your trade stand to deliver your marketing message consistently, even when the stand is unattended or your representatives are busy with other enquiries.
Whether you need audio to accompany a rolling Powerpoint presentation, to play as a soundtrack, or even to hand out on CD to your prospects, we have the expertise to deliver your business message effectively and with distinction.
About the Production Process
You can choose to provide us with a script or have one of our team of expert scriptwriters produce it for you. If you choose to write it yourself, these are some of the things you should consider including:
• A welcome to the specific trade show and to your business. For example, “Welcome to the Biomechanics stand at Chemist Research 2008”
• A brief description of your company and the services you offer
• Details of any new products or services
• Whether you are launching anything at the event
• Whether you are holding any demonstrations and, if so, where and when
• Any special offers specific to the event
• Information on leaflets, samples or free promotional merchandise that people can take away from your stand
• Ways prospects can obtain more information, such as your website address, leaving their business card, or completing a contact form
If you don’t have the time and resources to write your own script, one of our professional scriptwriters will work from your own brief and company literature to produce a highly relevant, attention-grabbing script that will translate well into an audio presentation.
We will require you to provide the following information:
• Your company name (including the pronunciation)
• Your website address
• Details of the event you are attending (unless you want a generic presentation)
• A list of literature and samples available at your stand
• A summary of what your company does, including products and services, and any industry recognitions and/or accreditations
• A pdf of your essential literature and brochures or any display graphics you are using in your exhibit
Try to send only relevant information. If you want a basic presentation, it may be enough just to give us your website address (provided the content there is up-to-date and informative).
Once the first draft of the script has been written, we will provide you with a copy and you can make any additions or changes you require before returning it to us. We do ask that you provide pronunciations for any difficult names and terminology, and write telephone numbers in words rather than numbers, especially if you have a preference to the way it is said.
The script will always be submitted to you for approval before any recording takes place.
Voiceovers & Music
As soon as we receive your approval, the script will be passed onto our production team for recording.
We have a selection of voiceovers for you to choose from, all of whom are industry professionals with experience in this field. We may suggest a particular voice depending on your business and the style of your production, but ultimately the final decision is yours. As soon as a voice has been agreed upon, a session will be booked to record your script with them.
As an established audio production company, we have a library of music for which we have full licensing authority, which means you will not need a PRS licence for your trade stand. No other organisation is permitted to collect royalties on behalf of our composers. You will be able to choose from a selection of music tracks.
Using our state-of-the-art production suite, we will blend the music and voice elements together to create you final audio presentation, which will be delivered to you on a CDR (or by mp3 if you prefer). It will be looped to fit a track that is approximately 60 minutes long, so even if your trade stand CD player does not have an auto repeat function it will play for an hour before having to be re-started.
Almost any CD player will play CD-Rs but we do advise you test the CD in the intended player before attending the event. You simply insert the CD into your player and use the repeat function to replay the presentation on a loop.
How long does it take?
The length of the process will depend on whether you are providing the script or have requested us to write it for you. If you supply the script then the production can usually be completed in 3 to 4 days (subject to voiceover and studio availability). If you require us to write the script then we will start on it immediately, but the studio and voiceover will not be booked until we have received final script approval from you.
We will keep you informed of your production’s progress.
If you have an imminent deadline, please contact us to discuss your needs and check studio availability – we will be more than happy to help and advise.
